This is a part time position. Pay rate according to experience.  There is no benefits package or health insurance at this time

DEFINITIONS & ESSENTIAL FUNCTIONS

 

Responsible for managing the administrative office of Good Neighbor Alliance (GNA) and providing support for management personnel and shelter staff.  Essential functions included in this job description may include tasks, knowledge, skills and other characteristics.  The list of tasks is illustrative only and is not a comprehensive listing of all functions and tasks performed by this position. 

 

TASKS

 

Responsible for:

v  receive callers in person and via telephone and determine the nature of business to direct their call appropriately

v  clerical duties including typing, maintaining workflow of correspondence, filing, maintain a running directory of supplies on hand and submitting requisitions for supplies as needed

v  receiving monetary and in-kind donations and recording the donations appropriately (*)

v  preparing thank you letters to be sent as receipts for monetary donations

v  organizes and maintains an up to date cooking schedule for volunteer cooks

v  attend staff meetings

v  preparing payroll for Operations Manager review

v  have a good working knowledge of the guests and staff rules/procedures

v  have an excellent working knowledge of community resources

v  respect and uphold the need for confidentiality with household information and personal matters regarding the guests and staff

(*) requires knowledge of QuickBooks

 

KNOWLEDGE, SKILLS & OTHER CHARACTERISTICS

GNA’s Office Coordinator must be well organized, detail oriented, have excellent time-management skills, maintain a high level of energy with a motivated and positive attitude.  The Office Coordinator must be able to communicate effectively, both verbally and in writing as they will often be the first point of contact with our organization. The Office Coordinator must be able to stay focused and work independently exercising sound judgment in line with the principles, concepts and practices of GNA.

 

Skill in:

·         problem solving skills, mathematical and logical

·         ability to provide statistical data

·         legible handwriting

·         performing as part of a team, especially in a supporting role

·         computer literacy including Microsoft Office, Word, Excel, data entry and preparing reports

·         type at least 40 wpm

·         must be able to lift and move 30 lbs.

 

Qualifications:

High School diploma or GED equivalent.  Two years’ experience working and/or using Microsoft Office products (Word, Excel, etc.)    Preference may be given to bilingual applicants. Valid Arizona Driver’s License (or ability to obtain one) with evidence of Good Driving Record.  Proof of automobile insurance.
